Warehouse Supervisor (Warehouse)



JOB SUMMARY:

WAREHOUSE SUPERVISOR will be responsible for the day to day activities in one of our departmental warehouses.


The supervisor will continuously abide to company policy and GMP guidelines which in turn will help him/her plan, organize, and participate in the operations ensuring the activities run flawlessly.

RESPONSIBILITIES

  • For the start, you shall oversee daily operations of all the stores in the department warehouse you are assigned to. This will include stores for raw materials, finished goods and/or spare parts store.

  • Ensure that you follow company policies, rules and regulations and GMP guidelines for all activities carried out in the warehouse including documentation.

  • Plan and organize the daily warehouse operations and activities. Including on one hand the receipt, documentation, storage and safety of materials or equipment. And on the other hand the distribution of materials or equipment while maintaining the data for inflow and out flow materials.

  • Supervise the offloading off all raw materials relevant to your department while adhering to company procedures and documentation.

  • Issue raw materials to concerned departments. Check all outgoing stocks from the stores in your control to ensure that they are in good condition and make sure that all documents are accurately filled and approved by concerned signatories for proper documentation.

  • Monitor and maintain the stock level as per the minimum stock levels and availability of materials like spares, raw materials, packaging and special packaging and accessories.

  • Place orders for new stock of materials before they are finished and inspect them upon delivery to ensure that they are of good quality according to standards and in the right quantity (as directed by management according to company policy and GMP guidelines).

  • Constantly inspect warehouse or stored items in the store you are in charge to identify shortages and damages, and relay findings to quality department or management for quick resolution to enable smooth flow of operations.

  • Observe health and safety regulations and standards as per the OSHA and GMP guidelines. Ensure that the warehouse is secured, clean (maintain high hygiene standards) and in an orderly condition security based on GMP.

  • Control and manage stock data on tally and any other software approved by the management, Prepare and maintain a variety of warehouse related records and logs and prepare reports; maintain all data of items in the warehouses; file records and distribute them to all concerned as required.

  • Ensure you File and forward paperwork to facilitate shipping office for creation of Invoice and Delivery notes etc, and carry out/ arrange outgoing inspections on shipping progress.

  • Operate and demonstrate use of specialized warehouse equipment where necessary like the needed room temperature, ensure that the materials are kept under the right conditions as directed on their packaging (like right temperature) and ensure proper and routine maintenance and servicing of warehouse equipments.

  • Ensure that the usage/distribution of materials from the warehouse in the warehouse follows FIFO (First in And First Out) unless otherwise check the expiry dates so that the dates nearer to expiry are used first.

  • Coordinate and organize for the taking of monthly physical stock audit and projecting the variance percentage of book and physical stock. Ensure also that it is carried out in a timely manner and that it is in line with the stock balance to avoid mix up.  

  • Help derive or revise the Minimum stock level for each and every item which is being used in the factory while maintaining inward and outward register of items in the stores you are in charge of.

  • Setup storage layout and ensure efficient and maximum space utilization in an organized and orderly manner in the warehouse. Select and design storage facilities and storage aids (shelving, stacking etc).

  • Organize quarantine stock and Rejection stock on advice of Quality Department and ensure that such stock is kept in the right allocated space immediately it is declared quarantine stock and Rejection stock..

  • Ensuring that storage quality objectives and delivery deadlines in store request forms are met.

  • Ensure that you keep all warehouse data and information confidential.

PHYSICAL DEMANDS:

  • Work is performed while standing, sitting and/or walking mostly.

  • Requires the use of hands for simple grasping and fine manipulations.

  • Requires bending, squatting, crawling, climbing, reaching.

  • Requires the ability to lift, carry, push or pull medium weights, up to 75 pounds where need arises.

  • Requires activities involving exposure to marked changes in temperature and humidity, and exposure to dust, fumes and gases.

  • Maintain accurate records of stock transactions.
